Building the Custom GPT: My Communication Assistant

Post 8 of 9 – Field of the Dream Series

For years, I wrote everything myself.
Emails, posts, event flyers, even text replies.
It worked — but it wasn’t sustainable.

Our Golf Club has grown.
Now we have events, food specials, promotions, and league announcements happening every week. Keeping the voice consistent across all of that is a full-time job.

That’s where the Custom GPT came in.


The Problem

I needed help writing faster, but not at the expense of personality.
Every message had to sound like us:
Warm but clear.
Professional but personal.
Local, grounded, and real.

AI could write, but it didn’t understand our rhythm — at least not yet.


The Build

I started by creating a Custom GPT using ChatGPT’s builder.

Then I trained it on everything that makes our golf club, our golf club:

Our brand story — the course history, the maple grove roots, the UAW connection, and our family atmosphere.

Our brand rules — no em dashes, no filler endings, no robotic tone. Keep it conversational, direct, and human.

Our key phrases — “Play golf, not your golf swing.” “Score first. Swing second.”

Our food voice — chef-driven but relatable.

Our leadership tone — calm, precise, and people-first.

I fed it sample writing from MyJLStory, social posts, emails, and newsletters.
Then I layered in Sugarbush’s current promotions, kitchen stories, and event info.

The goal was simple:
Create a communication assistant that already sounds like me.


What It Can Do

Now, I can ask it to:

Draft an email to ownership that’s professional and clean

Write Facebook captions that sound like Sugarbush

Generate blog introductions that fit our house tone

Suggest replies to customer comments that feel personal

Rewrite messages for clarity or brand consistency

Before, writing a flyer used to take me about an hour — crafting the title, rewriting copy, and adjusting tone until it felt right.
Now, with the GPT’s help, it takes me minutes.

It’s not perfect, but it’s close — and it saves hours.
Most importantly, it helps everyone on our team stay aligned with the same message.


Why It Works

The secret isn’t the technology.
It’s the rules behind it.

We created a brand story that defines who we are.
Then we added brand rules to make sure every message sounds like it came from one voice — not a dozen different people.

The GPT simply keeps us consistent.
No matter who uses it, the message feels like Sugarbush.


The Lesson

AI didn’t just save time.
It gave our brand structure.
Every sentence we write now reinforces who we are — not just what we’re selling.

The Custom GPT became more than a writing tool.
It became our digital voice keeper.
